OFFICE ADMINISTRATOR

We are looking for a competent, energetic Office Administrator to help with the organization and running of the daily administrative operations of the company.
 The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results and must be a great team player!
Please note this position is part-time to start but may develop into full-time.

WHAT YOU’LL DO

  • Learn the ins and outs of AudioControl
  • Talk to suppliers & vendors, provide support, act on questions, help our teams, be a ‘problem solver’!
  • Perform receptionist duties and act as the first point of contact for AudioControl
  • Handling customer requests and inquiries
  • Assisting the accounting team with AR/AP maintenance
  • Matching order sheets, pick tickets, invoices and associated filing
  • Tracking order fulfillment, managing dealer agreements and keeping accounts current
  • Organize office and assist associates in ways that optimize procedures
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings, calendars and appointments
  • Monitor level of office supplies and handle shortages
  • Resolve office-related malfunctions and respond to requests or issues
  • Coordinate with other departments to ensure compliance with established policies
  • Marketing projects
  • Process web orders and other order functions across various lines of business
  • Special projects and other duties as required

EXPERIENCE AND SKILLS

Our candidate will have proven experience in office support and administration. They will have excellent communication skills, extensive computer skills, have a strong customer service orientation, be a great problem-solver, have strong organization and planning skills in a fast moving, customer focused, dynamic, fun culture!

They will be proficient in all aspects of computer work including Microsoft Excel, Word, Office, Database Management, Social Media and back-office computer systems (ERP Software) and have excellent writing, time-management, organizational skills, and type at least 55 WPM. In addition, they will have analytical abilities, aptitude in problem solving, and strong verbal communication skills.

COMPENSATION

Hourly DOE. Medical, vision, dental insurance after 3-month probationary period.

MATERIALS COORDINATOR

As part of AudioControl’s Materials team, this role will contribute to a number of different areas including Purchasing, Receiving, Production and Shipping. The role is an active part of the operations team, and will cover a wide variety of tasks and responsibilities.

RESPONSIBILITIES

  • The successful applicant will work as part of the operations team reporting to Purchasing. They will carry out daily responsibilities and project based work as directed.
  • Receive, organize and stock incoming material, processing paperwork as necessary
  • Organize material on the production floor to ensure best visibility, and point of use storage for efficient production consumption.
  • Process and track RMA shipments for both customers and suppliers
  • Ensure that material is stored in a way where it can easily be FIFOed (First in First out)
  • Perform cycle counts, and identify potential material shortages to the Purchasing team
  • Ensure labels and locations are clearly identified for every material on the production floor
  • Identify, sort, package and handle rejected material, and coordinate RMA shipments back to suppliers
  • Aid with new employee training to go over material replenishment processes, and ensure that they are followed moving forward
  • Manage red tag/Kanban system for identified materials
  • Propose new ideas to improve the flow of material and overall production efficiency
  • Pull and package material orders for customers, suppliers and sub-contractors
  • Assist across Operations with a variety of duties including Shipping and Receiving
  • Other duties as required across Operations and the wider AudioControl business
